The phone rings during a consultation, a client is waiting for an e-mail reply, a forgotten appointment leaves an empty slot. Appointment booking takes up a significant share of time in many SMEs: medical practices, fiduciaries, real estate agencies, insurance advisers, service businesses. Automating it makes you more available, provided it is done properly.
The channels to automate
Your clients do not all book appointments in the same way. Good automation covers the channels they actually use:
- Online booking: a module on your website or a link shared by e-mail. The client chooses an available slot and receives an immediate confirmation.
- The phone: an AI voice agent answers calls, understands the request, offers slots and makes the booking. It is useful during breaks, outside opening hours or at peak call times. Our article on how an AI voice agent works covers this in detail.
- Forms and e-mails: a request arriving via a form can be read, classified and turned into a proposal of time slots.
The key is that all these channels feed a single calendar, to avoid double bookings.
Defining your calendar rules
This is the most important step, and it requires no technology. Write down in black and white:
- The types of appointment: first consultation, follow-up, signing, viewing, with their duration.
- The time ranges open to automatic booking, and those reserved for your team.
- The minimum notice: for example, no booking less than 24 hours ahead, or no more than a few weeks in advance.
- Buffer times between two appointments or for travel.
- The information to collect: name, contact details, reason, documents to prepare. Keep to what is necessary, in line with the data minimisation principle of the nFADP (new Swiss Federal Act on Data Protection).
- The cases that require a person: emergency, complaint, complex request.
These rules make the tool reliable and avoid unpleasant surprises.
Reminders, confirmations and cancellations
Once the appointment is booked, the automation continues:
- Immediate confirmation by e-mail or text message, with the address, access details and documents to bring.
- Reminder before the appointment, with a link to confirm, reschedule or cancel.
- Automatic release of the slot in the event of cancellation, so it becomes available to other clients again.
- Follow-up message after the appointment where it makes sense: documents, next step, review request.
Messages should remain simple, clear and recognisable as coming from your business. Avoid including sensitive information: a reminder text message does not need to state the reason for a medical consultation or the details of a financial file. A simple mention of the date, time and place is enough, with a link to your website for the rest. Think about languages too: if some of your clients speak German or English, messages in their language avoid misunderstandings.

- Insurance brokerage: appointments booked from an inbound enquiry and passed to the right adviser. See insurance and brokerage and lead generation.
How we work
At LYL Software, we start by observing how you work today: channels used, types of appointment, calendar tool, your team's constraints. We formalise the calendar rules with you, then connect the chosen channels to your existing calendar or to a new tool, as appropriate. An internal testing phase precedes any go-live. Data is hosted in Switzerland whenever possible, and the voice agent always introduces itself as a virtual assistant. To find out more, see our artificial intelligence and automation and data integration pages and our method.
Frequently asked questions
My clients prefer to phone. Is automation useful?
Yes. An AI voice agent can answer the phone, offer slots and book directly in your calendar, while transferring to a person when necessary.
How can no-shows be reduced?
Automatic reminders by text message or e-mail, with a simple way to cancel or reschedule the appointment, help free up slots in time.
Can I keep control of my calendar?
Yes. You define the time ranges open for booking, the durations, the breaks and the minimum notice. The rest of the calendar remains managed by your team.
