Automation and AI for fiduciaries in French-speaking Switzerland

Less manual data entry, reminders that go out on their own and client documents that are finally sorted: your staff can focus on advice.

Time spent collecting and entering data

In a fiduciary firm, a large part of the day goes on tasks that add no value for the client: chasing documents, renaming files, copying amounts, checking that a document is complete. These tasks are necessary, but much of them can be automated.

We develop tools that take care of this repetitive work. Your staff stay in control and focus on what requires their expertise: analysis, advice and the client relationship.

What we can automate

  • Data entry: extracting the relevant information from invoices, statements and receipts (date, amount, supplier, VAT), then preparing entries for approval.
  • Reminders: automatically sending clients reminders about missing documents, according to a schedule you define. Reminders stop as soon as the document is received.
  • Client documents: a simple upload area for your clients, with a clear list of what is expected for each mandate (year-end closing, tax return, payroll).
  • AI sorting: automatic filing of incoming documents by client, type and period. Uncertain cases are flagged for human review.
  • Tracking dashboards: an overview of the progress of each file, the documents received and the deadlines.

These tools draw on our expertise in artificial intelligence and automation and data integration.

Use cases

At the start of the year, each client receives a link to their upload area with the list of documents needed for their tax return. They upload their files from their phone. The tool files them, detects that a certificate is missing and sends a reminder a week later.

At the fiduciary, the staff member opens the file and finds the documents sorted, with the amounts already extracted. They check, correct if necessary and approve. They no longer hunt for documents in their inbox.

For phone reception, an AI voice agent can also answer simple questions and set appointments during busy periods.

How we work

We start by observing how you work today: which documents arrive, through which channel, who processes them and where the bottlenecks are. We then identify one or two automations that free up time quickly. We develop them, you test them on real files, then we fine-tune. The project moves forward in stages, as described in our method.

We are cautious with AI. Every extraction can be checked, and nothing is sent to the authorities or the client without human approval.

Confidentiality and hosting

Your clients' financial data is confidential. We restrict access by role, encrypt exchanges and favour hosting in Switzerland. We explain which services are used and where the data is processed. Our article on hosting data in Switzerland details these choices, and the one on automating SMEs with AI offers further practical ideas.

Frequently asked questions

Can AI replace the work of our accountants?

No. AI is used to sort, extract and prepare information. Checking, analysis and responsibility remain in the hands of your staff.

Can you work with our current accounting software?

In most cases, yes. We look at the import, export and connection options of your software before proposing a solution.

Do our clients' documents stay in Switzerland?

We favour hosting in Switzerland, with Infomaniak, whenever possible. The choice of AI services is discussed with you according to the nature of the data.
