Sorting incoming e-mails, copying information from a PDF into a spreadsheet, following up with a client, preparing a meeting summary: these tasks take up a large share of working time every day. They are necessary, but they add no value in themselves. Artificial intelligence and automation can reduce them considerably.
LYL Software Sàrl implements practical automations for SMEs in French-speaking Switzerland. We do not sell an abstract promise of AI. We start from your actual tasks and build solutions that fit into your tools.
What AI can do for you
- Read and file documents: extract the information from an invoice, an insurance policy or a form, then store it in the right place.
- Sort incoming requests: identify the subject of an e-mail, forward it to the right person and suggest a draft reply.
- Draft: meeting summaries, minutes, personalised standard letters, property descriptions.
- Search your own documents: an internal assistant that answers the team's questions based on your procedures.
- Answer the phone: with our AI voice agents, calls are handled even outside opening hours.
Automation without AI is often enough
Not every task needs artificial intelligence. Many gains come from simple automations: a form that creates a file directly, a reminder sent automatically before an appointment, a weekly report generated without anyone lifting a finger. We choose the simplest tool that works. AI comes in when the task requires understanding a text, an image or a conversation.
These automations often rely on connecting your existing software. Our data integration service takes care of this. When your needs go beyond what your tools allow, we develop custom software.
How we work
- Task inventory: together, we list what is repetitive and what takes time.
- Choosing a first case: a task with a high gain and low risk.
- Prototype: tested on your real documents or e-mails, with your staff.
- Go-live: with human review wherever an error would have consequences.
- Follow-up: together we measure the time saved and make adjustments.
One principle guides our projects: people stay in control of important decisions. AI suggests, your team approves. Our article Automating an SME with AI explains this approach in detail.
Data protection and legal framework
Using AI with personal data is subject to the nFADP (new Swiss Federal Act on Data Protection), in force since 1 September 2023. In practice, we:
- tell you where the data is processed and by which services;
- favour hosting in Switzerland, with Infomaniak, whenever possible;
- limit the data transmitted to what the task requires;
- document the processing to make your information obligations easier to meet.
To go further, see our article on the nFADP and AI in SMEs.
Use cases
- In insurance and brokerage: automatic checking of the documents in a file and preparation of comparisons.
- For fiduciaries: reading supporting documents and pre-filling accounting entries.
- In real estate: drafting listings and replying to viewing requests.
- For shops and SMEs: processing orders and frequently asked questions.
Frequently asked questions
Will artificial intelligence replace my staff?
No, that is not the aim. We automate specific, repetitive tasks. Your staff keep the decisions and the client contact, with less data entry and sorting.
Is my data sent to AI services abroad?
It depends on the tools chosen. For each project, we tell you where the data goes, we favour hosting in Switzerland whenever possible and we limit the data transmitted to what is strictly necessary.
Where should I start to automate my business?
We start by listing the tasks that come up every day or every week. We then pick the one that saves the most time with the least risk, and automate it first.
